Using CoVet's Interchangeable Procedure Report Template
The interchangeable procedure report template in CoVet is a specialized tool designed to streamline the documentation of surgical procedures. It allows you to pre-set your surgical report wording with variables that CoVet will automatically fill in based on your dictation. This requires a small amount of initial setup, but once configured, it significantly speeds up your post-surgery documentation.
Setting Up the Template
Important: Do not generate a report directly using the default "Interchangeable Surgery Report" from the library. You need to import an editable copy first.
Access Template Instructions:
- Go to the Template area in CoVet.
- Find the "Interchangeable Surgery Report" template.
- You'll see a message: "important do not generate using this template."
- Click to reveal the full set of instructions. These instructions will contain a code to import an editable copy.
Import an Editable Copy:
- In the Template area, click "Import with code".
- Type or paste the provided code into the field.
- CoVet will recognize the template as a "Surgery Procedure Report."
- Click "Save to my templates".
Customize Your Template:
- Once imported, this is your editable copy. Rename it to be specific to a procedure (e.g., "Open Castration Canine").
- Duplicate for Each Procedure: You will need to create a separate copy of this template for each different surgical procedure (e.g., feline spay, cystotomy, laparotomy). To do this, go into your customized template, click the gear icon, and select "Duplicate Template." You'll then need to modify the wording for the new procedure.
Edit the Report Body:
- The only section you need to modify is the body of the report. Click into this area.
- This section contains the pre-written surgical report text. You can overwrite this text with your preferred wording for that specific procedure.
- Identify Variables: Throughout the body, you'll see variables enclosed in square brackets (e.g.,
[blade size]
,[suture size]
,[suture type]
). These are placeholders that CoVet will fill in with your dictated information. - Variable Inspiration: The instructions section (which you don't need to change) provides examples of variables you can use. You can also create your own.
- Save Changes: Once you've customized the body and included your variables, save the changes to your template.
Generating a Procedure Report
Once your custom template is set up (e.g., "Open Castration Canine"), you're ready to generate a report.
- Start a Recording: After the surgery, make a brief audio recording. Crucially, dictate the values for the variablesyou included in your template.
- Example: "For the procedure we used a 10 blade, all ligatures were done with three zero monocryl. We closed the tunic and fascia using three zero monocryl simple continuous, and we closed the skin using three zero monocryl in a subcuticular pattern."
- You can do this immediately after surgery or even have an assistant hold the microphone during the closing stages to save time.
- Generate the Report:
- Go to your library within CoVet.
- Select your customized procedure template (e.g., "Open Castration Canine").
- Click "Generate".
CoVet will then process your recording and automatically plug your dictated variable values into the pre-set report text. The finished report will appear, populated with the specific details of the procedure.
