How to Create and Send a Client Portal to Pet Owners

Learn how to create, review, and share a CoVet Client Portal with pet owners, including visit summaries, medications, reminders, resources, and follow-up messages.

The Client Portal is a shareable web page you can create from a CoVet case after a consultation.

It gives pet owners one place to review their pet’s visit summary, medications, to-do items, reminders, attached resources, and follow-up messages from your clinic.

Use the Client Portal when you want to give a client clear next steps after a visit, especially when there are medications, home-care instructions, handouts, or follow-up tasks to remember.

What’s Included in a Client Portal?

CoVet’s Client Portals can include any key information you want to share with clients.

This can include:

  • Visit summaries and client education materials

  • Medications and instructions

  • To-do items and reminders

  • Attached PDFs, images, or case files

  • Follow-up messaging through CoVet

Before sharing, you can review what the client will see.

How to Create a Client Portal

To create a Client Portal:

  1. Open the case you want to share with the client

  2. Click Client Portal

  3. Review the introduction screen

  4. Click Generate

Note: Before CoVet can send messages to a client, the client needs to allow messages from CoVet.

  • If you create the Client Portal in the presence of the client, they can scan the QR code shown on your screen. Scanning opens their messaging app with a ready-to-send text; once they send it, they're connected.

Keep the QR code open until the client has scanned it successfully.

  • If you create the Client Portal without the client present, you can share it later with an SMS or email link.

After the portal is generated, CoVet will show you the content that can be shared with the client.

Review each section carefully before continuing.

Share the Client Portal

When everything looks right, continue to the sharing step.

Depending on the client information available, you may be able to share the portal by:

  • QR code

  • Text message

  • Email

  • Shareable link

Before sharing, confirm that you authorize CoVet to message the client on your behalf.

Then click Share.

Note: Client Portal texts are currently sent from a North American (+1) number, which some UK mobile carriers may block. You can share the portal again using the client’s email address instead. Local phone numbers are planned for a future update.

View the Client Portal after sharing

After the portal has been shared, you’ll see three tabs.

Client View

This shows what the pet owner can see in their portal.

Use this to confirm that the summary, to-do items, and handouts look correct from the client’s perspective.

Activity

This shows messages sent through the Client Portal or by text message.

You can use this area to review client questions and CoVet-generated responses.

Sharing

This shows who the portal has been shared with.

You may be able to add another phone number or email address from this section.

Messaging through the Client Portal

Clients can ask follow-up questions through the web portal or by their own’s phone text message platform.

CoVet uses the information from the case and the shared portal content to help answer questions, such as:

  • “What are my reminders?”

  • “What medications should I give?”

  • “What do I need to do next?”

You should still review portal activity as needed and follow up directly when a question requires clinical judgment, clarification, or urgent care.

Edit or update shared content

If you need to change what the client can see, you can always find the Client Portal from the case.

Review the shared content and adjust the selected summary, to-do items, or handouts as needed.

How reminders work

Reminders are created from the medications and to-do items in the portal. When you review the content before sharing, you can set optional timing on each item.

  • For a medication, this is the first-dose timing.

  • For a to-do, it is when the task should happen.

You can also make an item repeat, for example every day, every 8 hours, or weekly, and choose when it ends, such as never, on a specific date, or after a set number of times.

Adding timing is optional on your side, but anything you enter guides the client and pre-fills their reminder setup in the portal. From there, the client can turn each medication or task into a reminder with the schedule already filled in, and complete any missing details.

Reminders help clients stay on track with medications and home-care instructions after the visit.

Client Portal settings

You can control how each portal behaves from its settings screen, which you open with the gear icon while reviewing a portal or through https://app.co.vet/clientportalsettings

There you can set:

  • the tone of voice CoVet uses in portal messages and replies (Professional, Friendly, or Concise),

  • choose whether CoVet can answer client follow-up questions based on your portal content,

  • decide whether the client is notified when you update shared content,

You can also save reusable defaults and your hospital details, such as website, phone number, email, and booking link, from Client Portal Settings in your profile, so every new portal starts with the right information.

If you work in a team, these settings can be shared across the whole team.


Frequently Asked Questions

Clients may contact your clinic with questions after receiving a Client Portal. Here are a few common ones and how you can respond.

“What is this link?”

You can let the client know that the link opens their pet’s post-visit portal. It includes the information your clinic shared after the appointment, such as the visit summary, next steps, medications, reminders, and helpful resources.

“Do I need to download anything?”

No. The Client Portal opens in a web browser. The client does not need to download an app.

“Why did I get a text from CoVet?”

CoVet helps your veterinary clinic share visit information and follow-up instructions. If the client scanned the QR code or received a message from your clinic, the text is related to their pet’s visit.

“Can I reply to the text?”

Yes, clients can reply with follow-up questions about the information shared in the portal. CoVet can help answer based on the case details and portal content.

“What if I have an emergency?”

The Client Portal is not for emergencies. If the pet has urgent symptoms or the client is worried something is wrong, they should contact the clinic directly or seek emergency veterinary care.

“Why can’t I see a document or handout?”

Check the Client Portal content in CoVet to confirm the handout, image, or PDF was selected for sharing. If needed, update the portal or send the resource another way.

“Can another family member access the portal?”

If supported, you can add another phone number or email from the Sharing section. You can also use the available sharing options, such as link or email, depending on the client’s needs.

Troubleshooting

The client did not receive the portal

Confirm that the phone number or email address is correct. You can also try sharing by QR code or link if available.

The client cannot see an attachment or handout

Return to the Client Portal content review and make sure the item was selected for sharing.

Messages are not appearing right away

Messages may take a moment to load. Refresh the portal or check the Activity tab again after a short delay.

The client has an urgent concern

The Client Portal is helpful for follow-up questions and reminders, but urgent medical concerns should be handled directly by the clinic.
