Customizing your PDF

Brand your CoVet PDFs by adjusting headers, footers, logos, fonts, margins, and clinic details so exported records match your practice's look and feel.

Customize how PDFs exported from CoVet appear when they are downloaded, previewed, or sent to clients. You can create PDF presets for different workflows, adjust header and footer details, upload branding images, change margins and fonts, and share preset layouts with your team.

PDF presets let you save different PDF configurations for different document types or clinic workflows. For example, you may want one layout for discharge summaries, another for referral letters, and another for internal records.


Open Customize PDF Settings

To customize your PDF settings:

  1. Open your Profile in CoVet

  2. Go to Personalization

What You Can Customize

Each PDF preset stores its own settings. This means changes made to one preset do not affect your other presets.

You can customize:

  • Document size

  • Document margins

  • Header content and alignment

  • Footer content and alignment

  • Header and footer images

  • Logo or branding image placement

  • Body font size

  • Document title display

  • Case owner name display

  • Case date display

  • Grey background display

  • Case images as an appendix

  • Clinic name, slogan, address, phone number, and email

  • Page numbers

  • “Powered by CoVet” display

Create a New PDF Preset

You can create multiple PDF presets and switch between them when exporting records.

To create a new preset:

  1. Open your Profile.

  2. Click the Plus button (+) next to the Default tab to create a New Preset.

  3. Enter a name for the preset.

  4. Customize the PDF settings.

  5. Save your changes.

You can create up to 10 PDF presets per user.

Manage PDF Presets

Each preset appears as a tab on the Customize PDF page.

Use the three-dot menu on a preset tab to manage that preset.

From this menu, you can:

  • Duplicate a preset

  • Rename a preset

  • Delete a preset

Duplicating a preset is useful when you want to create a similar layout without starting from scratch.

Deleting a preset removes it from your available PDF presets. If the preset was shared with team members, it is also removed from their shared preset list.

Switch Presets When Previewing or Downloading a Record

When you preview or download a record as a PDF, you can choose which PDF preset to use.

To switch presets during export:

  1. Open the record you want to preview or download.

  2. Select the option to Preview or Download the PDF.

  3. Open the PDF preset dropdown.

  4. Choose the preset you want to use.

  5. Continue previewing, downloading, or sending the PDF.

CoVet remembers the last preset you used and applies it by default the next time you export a PDF.

If a case is assigned to a team that has a shared PDF preset, CoVet may auto-select that team’s shared preset for PDF export on that case.

Customize General PDF Settings

The General settings control the overall PDF layout.

You can adjust:

  • Document size

  • Document margins

Use these settings to control how much space appears around the content and which page size the exported PDF uses.

Customize Header Settings

The Header settings control what appears at the top of the PDF.

You can choose whether to show:

  • Hospital name

  • Hospital slogan

  • Hospital address

  • Phone number

  • Email

  • Logo or custom image

You can also adjust:

  • Header text alignment

  • Logo or image alignment

Upload a Header Image

You can upload a custom image for the header, such as a clinic logo or branded header graphic.

To upload a header image:

  1. Open the preset you want to edit.

  2. Go to the Header section.

  3. Choose the option to upload an image. Drag and drop any image.

  4. Use the cropping tool to adjust how the image appears.

  5. Save your changes.

Customize Body Settings

The Body settings control the main content area of the PDF.

You can adjust:

  • Body font size

  • Whether to show the document title

  • Whether to show the case owner’s name

  • Whether to show the case date

  • Whether to show a grey background

  • Whether to show case images as an appendix

These settings help you control how much case information appears in the exported document and how it is formatted.

Customize Footer Settings

The Footer settings control what appears at the bottom of the PDF.

You can choose whether to show:

  • Hospital name

  • Hospital address

  • Phone number

  • Email

  • “Powered by CoVet”

  • Page number

  • Custom footer image

You can also set the footer alignment to:

  • Left

  • Center

  • Right

Upload a Footer Image

You can upload a custom image for the footer, such as a branded footer graphic or clinic logo.

To upload a footer image:

  1. Open the preset you want to edit.

  2. Go to the Footer section.

  3. Choose the option to upload an image. Drag & Drop your image of choice.

  4. Use the cropping tool to adjust how the image appears.

  5. Save your changes.

Choose Which Pages Show the Footer

You can control which pages display the footer.

Depending on your workflow, you may choose to show the footer on:

  • All pages

  • The first page only

  • Specific available footer display options in the preset settings

This is useful when you want a branded footer on the first page but a cleaner layout on later pages

Tips for Using PDF Presets

  • Create separate presets for different document types, such as discharge summaries, referral letters, and client records.

  • Use clear preset names so they are easy to identify when exporting.

  • Duplicate an existing preset when you want to make a small variation without rebuilding the layout.

  • Preview a PDF before sending or downloading it to confirm the formatting looks right.

  • Use shared presets when your clinic wants the whole team to use the same branding and formatting.
