Using Abbreviations and Technical Terms in Your Records

The Abbreviations & Technical Terms features lets you customize the short forms you want CoVet to pull into your records, helping to keep things short and concise.

 

Using CoVet's Abbreviation Feature for More Concise Records

CoVet's abbreviation feature helps make your records more concise and efficient by automatically converting full terms into their abbreviated forms. You can customize and manage these abbreviations to suit your preferences.


Setting Up Abbreviations

  1. Access Abbreviations Settings:
    • Go to the My Account tab.
    • Select Personalization.
    • Click on Abbreviations.
  2. Enable Abbreviations:
    • Make sure "Abbreviations are enabled" is toggled on in the top right corner.
  3. Add a New Abbreviation:
    • CoVet pre-populates a list of common abbreviations, but you can add your own.
    • Click the "New Abbreviation" button.
    • Enter the "Long Form" (e.g., "history") and the "Abbreviation" (e.g., "Hx").
    • Select the language for the abbreviation.
    • Choose a category (e.g., "clinical terms"). You can also create new categories as you go.
    • Decide if the abbreviation should be used in "Client-facing content." For example, "mL" for milliliters might be client-friendly, but "BID" (twice daily) or "TID" (three times daily) might not be.
    • Click "Create abbreviation."

Using Abbreviations in Recordings

Once set up, CoVet will automatically apply your defined abbreviations when generating records from your audio recordings. For example, if you say "twice daily," CoVet will convert it to "BID" in your record.

  • Permutations: You can add multiple long-form phrases for a single abbreviation to ensure comprehensive conversion. For instance, if you want "left eye" to always become "OS," you can add "the left eye," "her left eye," etc., as long forms for "OS."

Quick Abbreviation Addition from a Record

If you're in the middle of editing a record and realize you need to add a new abbreviation, CoVet provides a convenient shortcut:

  1. In the record editing screen, click the three dots (...) menu.
  2. Select "Add an abbreviation to the dictionary."
  3. This will open the same workflow as setting up an abbreviation in personalization.
  4. Once created, the new abbreviation will apply to your next generated record.

This feature helps you create highly concise and professional records with minimal manual editing.
