Using Abbreviations and Technical Terms in Your Records

CoVet can automatically replace full clinical terms with your preferred abbreviations when generating records.

You can use CoVet’s built-in abbreviations, add your own, and control which ones can appear in client-facing content.

Go to Settings > Personalization > Abbreviations & Technical Terms.

You can also open the page directly at app.co.vet/abbreviations.

The table shows the abbreviations available to you, including CoVet’s built-in abbreviations and your own additions.

It contains the following columns:

Select a column heading to sort the table. The active sort column will be highlighted.

You can narrow the table using:

All options are shown by default. Unselect an option to narrow the results.

Select Manage Categories from the Category filter to manage your abbreviation categories.

The Created by column shows where each abbreviation came from:

CoVet includes a library of common clinical abbreviations. You can add your own or create a personal version of a built-in abbreviation.

On mobile, these fields open in a panel at the bottom of the screen.

The Save button becomes available when all required fields are complete and valid.

If a matching abbreviation already exists, CoVet will direct you to edit the existing entry instead of creating a duplicate.

CoVet abbreviations are built into the system. Editing one creates a Personal version while keeping the original CoVet version available.

When creating your version, you can select Hide CoVet’s original version.

Only your version will then be used. You can reactivate the original later.

When a Personal entry conflicts with a CoVet entry, the Personal version becomes active and the CoVet version is hidden.

An expand arrow and number beside the active entry show that other versions are grouped underneath it. Expand the group to view them.

Turn on Show hidden to see all hidden entries.

You can reactivate a hidden version from its Actions menu. CoVet will ask you to confirm before changing which version is active.

Use the toggle at the top of the page to control whether CoVet applies abbreviations when generating records.

When abbreviations are disabled:

Turn the setting on again when you want CoVet to resume using them.

Select Client friendly when an abbreviation will be clear and appropriate in client-facing content.

For example, mL for millilitres may be suitable for clients. Clinical abbreviations such as BID or TID may be less clear and can be limited to clinical records.

You can create multiple entries that use the same abbreviation.

For example, you could map left eye, the left eye, and her left eye to OS. This helps CoVet apply the abbreviation when the same information is phrased in different ways.

You can add an abbreviation without leaving the record you are editing:

The abbreviation will be available the next time CoVet generates a record.
