Mapping Templates for the Covetrus Ascend Integration

Modified on Thu, 19 Feb at 11:12 AM

Mapping templates control how your CoVet documentation is exported into the Medical Records section of Covetrus Ascend.

While Ascend is a structured PMS, it primarily stores clinical narratives in a single field. CoVet allows you to map different document types to ensure your notes land in the right place within a patient's consult history.

There are multiple articles that will help you with different aspects of the Covetrus Ascend Integration.

How Template Mapping Works with Covetrus Ascend

When exporting documents, CoVet converts your AI-generated notes into Plain Text to ensure compatibility with Ascend’s medical record storage. You can map specific CoVet outputs to the following categories:

  • CoVet SOAP → Medical Records (History/Discussion): Recommended for full clinical narratives and SOAP notes.
  • CoVet Plan → Medical Records (Plan): Recommended for internal treatment plans and next steps.
  • CoVet Visit Summary → Medical Records (Client Notes): Recommended for client-facing communications and discharge instructions.

Note: Because Ascend treats each pet as a separate consult, your mapping will apply specifically to the individual patient record linked to that case.

Mapping Templates from the Template Library

  1. Open a Template Go to Templates and open the specific template (e.g., "Standard SOAP" or "Discharge Summary") you want to configure.
  2. Configure Covetrus Ascend Export Select the Integrations tab or click Preview for Covetrus Ascend.
  3. Select Default Note Category Choose which section of the Ascend Medical Record this template should default to.
    • Example: Set your "Feline Wellness" template to default to the History/Discussion field.
  4. Save Your Mapping Click Save to ensure all future cases using this template automatically target the correct field in Ascend.

Mapping Templates from an Individual Case

If a specific visit requires a different setup than your default, you can override the mapping on the fly:

  1. Open a Case Navigate to a linked case and generate your documentation.
  2. Click Export Select Export to Covetrus Ascend.
  3. Adjust Note Category Before confirming, use the dropdown menu to change the target field (e.g., moving a "Plan" note into the "Discussion" field for this specific visit).
  4. Confirm Export Once you click export, CoVet will push the plain-text note directly into the patient’s consult history in Ascend.
