Generating Client-Friendly Visit Summaries in CoVet

Client summaries help clients remember what happened during the visit and what to do next. CoVet helps you create these summaries quickly and customize what is included, including supporting files like photos, PDFs, and client education materials.


Creating a Summary

Once you have completed your consultation notes and your client is ready to leave, you can generate a visit or discharge summary from the case page.

  • Open the patient’s case.
  • Select Client Resources.
  • Choose Visit/Discharge Summary.


Note: If you are send information for a multi-pet household, you can include multiple patients in a single document.
  • Add any attachments you want included, such as case photos, case PDFs, client handouts, or other supported add-ons.
  • Choose the language for the summary. Even if the consultation was in English, you can select French or Spanish to make it more accessible for your clients.
  • Preview the summary as a PDF to confirm everything looks right.


When you are ready, select Send to email it to the client, or Download to save it as a PDF.


Editing and Customizing the Summary

While in the editing window, you can:

  • Review the content for accuracy.
  • Free type any additional notes or information.
  • Insert snippets of pre-written text using the "Insert Snippet" button. You can even insert snippets verbally by saying, "Hey CoVet, insert my snippet about [topic] in the client summary."



Attachments and Included Materials

You can include more than just the written summary.


Depending on what is available in the case, you may be able to include:

  • Selected template sections
  • Case photos as an appendix
  • Case PDFs as an appendix
  • Client Handouts (powered by Vetlexicon)
  • Feline Pain Assessment (powered by Sylvester AI facial analysis)


This helps ensure clients receive a complete package in one place, especially when lab reports or other supporting documents are part of the visit.



Exporting and Sharing the Summary

Unlike standard records, client summaries are often exported as a visually appealing PDF. You'll find the PDF Preview button in two locations: on the document itself and as a shortcut in the case content feed.


  1. Click the PDF Preview button. This will display a more graphical PDF version of the summary.
  2. Customize the PDF: In your account settings, you can add your clinic's logo, specific header text, and footer text to personalize the PDF. You can learn more about customizing your PDF here.
  3. Share the summary:
    • Save or Print: You can save the PDF directly or print it.
    • Email to Client: While in the record, click Email content. Enter the client's email address, add a personal message (e.g., "Hi Mrs. Smith, this is the summary I promised you..."), and ensure your "Reply to" address is set so you receive any client responses.
