How to Import Cases Using the ezyVet Integration

Auto-import ezyVet appointments into CoVet as linked cases on a daily schedule, then track them on the Cases page using linked and empty status badges.

This article will show you how to import appointments from your ezyVet calendar into CoVet, creating linked cases so that each CoVet case stays tied to its corresponding ezyVet appointment.

One key function of the ezyVet integration is to automatically import appointments from your ezyVet calendar into CoVet as cases.

These imported cases appear on the Cases page, ready for you to begin working on. Each case includes the patient information, owner information, appointment time, and assigned veterinarian where CoVet can determine an assignee from your ezyVet mappings.

How appointment assignment works

CoVet does not use the calendar column shown in ezyVet by itself to determine who an imported appointment belongs to. Assignment can be based on the consultation's ezyVet veterinarian mapping, a mapped room or resource, or both.

If your clinic schedules appointments by room or treatment column, you can map that room or resource to a CoVet user during setup. This helps appointments arrive assigned to the appropriate team member instead of appearing as Unassigned.

If different veterinarians rotate through the same room or column, update the room mapping when the assignment changes.

Choose which appointment types to import

By default, CoVet imports every appointment type from ezyVet.

If there are appointment types you do not need in CoVet, such as boarding or grooming, you can exclude them from your automatic imports.

Open Your Profile, select Integrations/Connections, then click the gear icon on the ezyVet integration to open ezyVet PMS Settings.

Choose the appointment types you want CoVet to import, then click Save Changes.

Auto Import Cases

Auto-importing allows CoVet to pull cases from ezyVet on a daily schedule, so you don't need to manually click Import & Sync each day.

During the initial integration setup, you'll configure your auto-import settings. You can adjust them later by following these steps.

1. Navigate to the Integrations page

Click on your name, click Integrations/Connections, and on the ezyVet tile click the gear icon to edit the settings.

From your ezyVet PMS Settings, you can update your import schedule and user mappings, including veterinarian and room or resource mappings.

2. Configure your auto-import options

Click the Import Schedule and Import date range dropdowns to adjust your settings, for example pulling appointments 1 day, 1 week, or 1 month ahead.

Click Save Changes to confirm.

Your cases will now arrive in CoVet automatically based on the schedule you selected.

3. Viewing imported cases

Imported cases appear on the Cases page. In tile view, each tile represents an individual case and displays key appointment details.

In the bottom right corner of each tile, a purple arrow icon indicates the case is successfully linked to its corresponding appointment in ezyVet.

Newly imported cases also display an "Empty" badge in the top right corner, meaning no content has been created in the case yet. As you add documents, notes, or records, this badge updates automatically.

You can switch to List view using the view toggle in the top right of the Cases page.

Manually Import Cases

1. Click Import & Sync

To bring in new appointments from ezyVet at any time, use the Import & Sync button in the top right-hand corner of the Cases screen.

This pulls in any new appointments and syncs any case updates made in ezyVet.

CoVet will not duplicate a case that already exists, so you don't have to worry about clicking Import & Sync more than once. The Last sync time is noted below the button.

2. Choose import settings and confirm

When importing, you can customize what comes in:

  • Import for yourself or the entire team. Choose whether to import only your appointments or the whole team's.

  • Filter by team member (optional). Narrow the import to a specific clinician if importing for the team.

  • Select a date range. Choose how many days of appointments to import.

Once your options are set, click the blue Import & Sync button to begin.

3. Review the import confirmation

After a brief processing period, a confirmation screen shows how many cases were imported. Any cases that were imported previously are marked as updated rather than new.

Group multi-pet visits into one case

If a client has appointments for several pets during the same visit, CoVet can group those appointments into a single case.

Each patient remains linked to their own consultation in ezyVet. When you export a document for one of the patients, it is sent back to that patient's corresponding ezyVet consultation.

This setting is off by default.

To enable it, open My Account, select Integrations/Connections, then click the gear icon on the ezyVet integration to open ezyVet PMS Settings.

Turn on the multi-pet visit setting, then click Save Changes.

Importing Medical Histories

The ezyVet integration can also bring in the patient's record and add a medical history summary to each new case.

This gives you relevant background before the visit without switching back to ezyVet.

1. Make sure the setting is enabled

Auto-import medical history is optional and off by default.

To turn it on, go to My Account → Integrations/Connections, click the gear icon on the ezyVet tile, and switch on Auto-import medical history.

2. Where the medical history appears

Once enabled, the summary is added to each linked case as it is imported.

Open the case to view the summary alongside the appointment details.

Note: The summary reflects the information available in ezyVet for that patient, so the level of detail will vary. Importing the history does not change the patient's record in ezyVet.

Medical history summaries do not currently include diagnostic results, visit PDF attachments, or patient PDF attachments.

CoVet can import the Presenting Problem recorded at the consultation level in ezyVet. The Master Problems panel on the ezyVet exam record is not available through the ezyVet API, so information from that panel does not transfer to or from CoVet.
